What to Include on an Automotive Receipt
An automotive receipt should show the vehicle, the work or products, and the payment. Include enough detail for you and your customer to identify the job later.
- Your business name and contact details.
- Your customer's name and contact details.
- A unique receipt number and the payment date.
- The vehicle year, make, model, VIN, license plate, or mileage when it helps identify the vehicle.
- The repair, service, parts, tires, towing, or other work the customer paid for.
- Parts, labor, shop fees, disposal fees, and other charges on separate lines when useful.
- Quantities, prices, discounts, taxes, and the total paid.
- The payment method and a reference number when useful.
- Any remaining balance, warranty note, or other information the customer may need.
Keep each major charge on its own line when possible. Your customer can then see what the payment covered without working through one long description.
How to Make an Automotive Receipt Clear
Add the vehicle details that help identify the right job. The year, make, and model may be enough for a routine service. A VIN, license plate, or mileage can help when you work on several similar vehicles.
Separate parts and labor when the breakdown matters. List towing, shop supplies, disposal, storage, or other fees on their own lines instead of hiding them in the total.
If the customer made a deposit or partial payment, show the amount received and any balance still due. This makes the receipt useful without making it look like the job has been paid in full.
Already created the invoice in Docelf? Record the payment, then create the receipt from the invoice. Docelf brings over the customer, vehicle, and line-item details so you only need to check the payment information before sending it.

Automotive Receipt Template FAQs
-
What is an automotive receipt?
An automotive receipt gives your customer a record of payment for a vehicle, repair, part, oil change, tire service, towing job, or another automotive service. It shows what the customer paid for, the amount received, and the payment date.
-
Should I include vehicle details on an automotive receipt?
Include the vehicle details that help you and your customer identify the job. These may include the year, make, model, mileage, VIN, license plate, or another reference. You do not need every detail on every receipt.
-
Should I separate parts and labor on an automotive receipt?
Separating parts and labor usually makes the receipt easier to understand. You can also list towing, shop, disposal, storage, or other fees separately when they apply.
-
Can an automotive receipt show a remaining balance?
Yes. If the customer made a deposit or partial payment, show the amount received and the balance still due. This confirms the payment without suggesting that the full invoice has been paid.
-
Can I create an automotive receipt from an invoice?
Yes. After you record a payment on a Docelf invoice, create the receipt from that invoice. Docelf reuses the customer, vehicle, and line-item details, so you do not have to enter them again.
-
Can I create an automotive receipt online?
Yes. With Docelf, you can create the automotive receipt online, email it to your customer, or download a PDF. You can also see when your customer opens a receipt you sent.
