How to Create a Pest Control Receipt
Match the payment to the visit or plan your customer purchased. For an existing Docelf invoice, record the payment first and create its receipt. Docelf brings over the customer and service details for you to check.
Starting without an invoice? Use the fields below. You can choose the starting receipt number, and Docelf numbers the next receipts in sequence.
- Your Business: Enter your pest control business and contact details.
- Your Logo: Add the logo customers know from your service paperwork.
- The Customer: Choose a saved customer or enter their details.
- Number and Date: Check the number. Use the date payment arrived.
- The Service: List the services, quantities, and agreed prices.
- The Payment: Record the amount received and payment method. Check any applicable tax or discount.
- Service Notes: Add the property and visit details in Notes. Review, then email or save a PDF.
Break Down the Pest Control Services Paid For
An inspection, entry-point sealing, and follow-up visits can each have a price. Use service names your customer knows. Docelf calculates each line amount and applies the tax you enter.
For the rodent-service work below, the customer paid by card on September 24, 2026, after the final visit. This US-dollar example applies 6% tax to the $250.00 subtotal. The prices and tax treatment are illustrative.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 1 | Rodent inspection — property visit | $65.00 | $65.00 |
| 1 | Entry-point sealing — two agreed gaps | $95.00 | $95.00 |
| 2 | Follow-up monitoring — completed visits | $45.00 | $90.00 |
| Subtotal | $250.00 | |
| Sales Tax (6% of $250.00, illustrative) | $15.00 | |
| Total Paid | $265.00 |
The customer paid $265.00 in full. Use your own service prices and applicable tax treatment.
Use Notes to Identify the Visit or Plan
A customer with several properties needs to know which one the payment covers. The service address, visit dates, and report reference give them a useful record without repeating the full treatment report.
This Notes example matches the completed services above. The receipt date is September 24, when payment was received; the earlier dates below identify the work.
Example: Notes
- Rodent service at [Service Address]. Inspection and entry-point sealing completed September 5, 2026.
- Follow-up monitoring visits completed September 12 and 19, 2026. Service record: PC-2046.
- Card payment received: $265.00. Paid in full.
Send a Receipt for the Service Payment
Keep the visit details and payment together in Docelf. Review the receipt, then email it to the customer or save a PDF for their property records.
A Receipt and a Service Report Have Different Jobs
The receipt confirms payment. A service report can describe the inspection, treatment method, areas covered, and other details of the visit. When both are useful, keep the report separate and reference it in Notes.
You can attach an existing service report to the receipt as a PDF or supported image. That keeps detailed inspection or treatment instructions with the job while the receipt confirms payment.
One Visit or a Paid Service Plan?
A prepaid plan may cover visits that have not happened yet. Name the plan period and identify those visits as scheduled so the customer can see what the advance payment covers.
For a plan paid in installments, show the plan price and any earlier payments alongside the amount received now. Docelf updates the remaining balance. Each later payment has its own receipt.
Make Repeat-Visit Paperwork Easy to Recognize
Use your usual logo, colors, and font, and add “Pest Control” before the receipt title. Your phone, email, or website can go in the footer so a customer knows how to ask about the payment.
Saved customer and service details can help with the next visit. You can also duplicate a receipt into a new draft with a new number. Check the property, service period, receipt date, and new payment instead of carrying over the old visit unchanged.
Docelf supports USD, EUR, GBP, CAD, and AUD. Email the finished receipt, print it, or download a PDF. When you email it, Docelf shows whether the customer has opened the receipt.

Pest Control Receipt FAQs
Help with service plans, report references, and payments made on a different day from the visit.
-
Which date belongs on a receipt for a visit paid in advance?
Use the date you received the advance payment, even if you prepare or send the receipt later. Name the planned visit or service-plan period in Notes. The service dates can be later than the receipt date.
-
Does a pest control receipt replace the service report?
No. This receipt records the payment and what it covered. Keep the detailed visit or treatment record separately and reference or attach it when useful. Payment confirmation is not a statement about the treatment outcome.
-
Who should the receipt name when a landlord pays?
Name the person or business that made the payment. Identify the treated property in the description or Notes when it differs from their address. That connects the landlord’s payment to the right service visit.
-
Is a service discount the same as a previous payment?
No. A discount reduces the price; a previous payment is money already received. Show discounts with the charges and keep earlier payments separate from the amount received now.
-
How do I show follow-up visits that are already included?
Describe them as included in the package or plan rather than adding another charge. Separately priced follow-up visits can have their own item line, with the number of visits and the agreed price.
-
Can the receipt show only part of a pest control bill as paid?
Yes. Show the amount received now and the balance remaining after any earlier payments. The next payment gets a new receipt for that payment, not the full bill again.
-
Can I send the customer another copy after a later visit?
Yes. Send the same receipt again for the same payment, keeping its number, payment date, and amount. Only a new payment needs a new receipt.
