Match the Payment to the Service
A client may pay after one visit, after several sessions, or before the work begins. The receipt should explain what that particular payment covers. A service date helps identify the work, while the receipt date records when you received the money.
If you billed the client in Docelf, record the payment on that invoice and create its receipt. You can also create a standalone receipt for a service paid without an invoice.
How to Create a Services Receipt
Use the agreed service descriptions and prices. Label the work date or service period in the description or Notes when it helps the client identify the payment.
- Your Business: Add the name and contact details your client knows.
- Your Logo: Add your logo to match your other service documents.
- The Client: Select the client or enter their details.
- Number and Date: Check the number. Use the date you received payment.
- The Services: Name each service and show hours, visits, or the fixed fee.
- The Payment: Add any tax or discounts. Record the amount paid and check the balance.
- Notes and Review: Add the payment method and service reference. Review and send the receipt.
Use the Unit That Fits the Service
Hourly work uses hours and a rate. A fixed-price service can use quantity one with the agreed fee. Docelf calculates the line amounts and total for you. You don’t need extra rows when one line describes the service clearly.
This fictional home-organization visit took place on September 21, 2026, and was paid by bank transfer on September 23. The USD example assumes an illustrative 8% tax on all three service charges.

The services total $290.00 before $23.20 in example tax. The $313.20 payment clears the balance. September 23 is the receipt date; September 21 identifies the service visit. Apply the tax treatment for the actual service.
What to Include in Services Receipt Notes
Use Notes for details that help the client match the payment to the work, such as a service reference or the dates of several sessions.
Adapt this example to the visit or service period your client paid for.

Send a Receipt for the Service
Confirm which visit or sessions the client paid for. Docelf calculates the total from your service charges. Review the receipt, then email it or save a PDF.
One Visit, Several Sessions, or an Advance?
For a single visit, name the service and the day it took place. For a payment covering several sessions, list the sessions or a clearly labeled service period so the client can follow what is included.
For an advance or deposit, say which service the payment is for and show any balance. That gives the client a useful receipt before the visit without suggesting the work is finished.
Keep Fixed Fees Separate From Hourly Extras
Use the price you agreed with the client. If a package already includes your time, listing those hours as an extra charge would count the work twice.
An additional service can have its own line when it was charged separately. A short description such as “label preparation” is easier to understand than an unexplained “miscellaneous” fee.
Save the Familiar Details for the Next Visit
For a regular client, reuse saved contact and service details instead of typing them again. Check what changed for this visit, including the work and price. A duplicated receipt starts a new draft with a new number. Update the payment amount, date, and method for the new receipt.
Your logo, colors, and fonts can stay familiar across visits. Add an industry name before “Receipt” when useful, and keep your email, phone number, or website in the footer.
Keep Supporting Details With the Receipt
A brief service summary or relevant image can explain work that needs more space. Docelf accepts PDF and image attachments. Keep the service description useful on its own, even when you attach a file.
Choose the payment currency from USD, EUR, GBP, CAD, or AUD. When the receipt is ready, print it, save a PDF, or email it from Docelf. The document history shows delivery and opening information for emailed receipts.

Yes. The receipt date is the date you received payment, even when you send the receipt later. Label the service date or period separately so the client can see when the work took place.
