Turn a Lesson Payment Into a Clear Record
A tutoring receipt explains which lessons or tutoring period a payment covers. Name the paying parent or student and identify the learner where helpful. Keep the lesson dates in the descriptions and use the date the money arrived as the receipt date.
For lessons already billed in Docelf, record the payment and create the receipt from the invoice. Docelf copies the relevant customer and item details. A standalone receipt also works when you have the lesson and payment records ready.
How to Create a Tutoring Receipt
Choose session counts or hours to match your agreed fees. The example below the steps shows how to enter lessons of different lengths.
- Your Tutoring Business: Enter your tutoring name and contact details.
- Your Logo: Add your tutoring logo, or leave it out.
- The Payer: Choose the parent or student who paid.
- Number and Date: Check the receipt number. Use the date you received payment.
- The Lessons: List subjects, lesson dates, hours or sessions, and rates.
- The Payment: Check any tax or discount and record the amount paid. Docelf calculates the total.
- Notes and Review: Add a learner reference and payment method in Notes. Review, then email or save a PDF.
Use Hours and Session Prices Without Mixing Them
For hourly tutoring, enter the lesson length in hours. Ninety minutes is 1.5 hours; 45 minutes is 0.75 hours. For a fixed session fee, use a quantity of 1 and put the session length in the description instead.
This fictional USD example uses hourly rates for three completed lessons paid together. No tax is assumed on these services in this example. Use your own fees and the tax treatment that applies to your tutoring.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 1.5 | Algebra tutoring — hours, September 15, 2026 | $60.00 | $90.00 |
| 1 | Reading support — hour, September 17, 2026 | $55.00 | $55.00 |
| 0.75 | Study-planning session — hours, September 19, 2026 | $60.00 | $45.00 |
| Subtotal | $190.00 | |
| Total Paid | $190.00 |
The lessons total $190.00. The family pays by bank transfer on September 20, 2026, so that is the receipt date. The payment settles all three lessons in full.
What to Include in Tutoring Receipt Notes
Use Notes for a learner reference, payment method, or a short explanation of the lessons covered. The subject and lesson dates usually provide enough context; grades and detailed learning assessments belong in your teaching records.
Here is a payment note for the hourly example. Replace the learner reference and method with the details from your own records.
Example: Notes
- Learner reference: TU-309. Covers the lessons dated September 15, 17, and 19, 2026.
- Received $190.00 by bank transfer on September 20, 2026.
- All three listed lessons are paid in full. Thank you.
Finish the Receipt While the Lesson Details Are Handy
Docelf calculates the lesson amounts and total. Check the payment details, then email the receipt or save a PDF.
When a Parent Prepays for Lessons
A package payment buys the named lessons or hours in advance. Describe the package and use the date payment was received. Do not list future sessions as though they have already taken place.
Keep track of used lessons in your teaching records. The package receipt already confirms the money received, so using one of those lessons does not call for another payment receipt. Create a new receipt when another payment arrives, such as for an extra lesson.
Match the Charge to the Agreed Lesson
A short session is not always billed by the minute. Use the fee you agreed with the family, whether it is an hourly rate, a fixed appointment fee, or a package. Make that unit clear so the quantity and price mean the same thing.
For a group lesson, show only the charge for the learner or family named on this receipt. There is no need to list other students. Materials or preparation already included in the lesson fee stay included.
A parent may need a payment record for a learning program or reimbursement request. Ask what details the recipient requires and provide accurate lesson and payment information without promising eligibility.
Keep Returning Families’ Receipts Easy to Find
Add your tutoring name, logo, colors, and a readable font. A contact in the footer gives families somewhere to ask about a payment. Use the agreed currency; Docelf supports USD, EUR, GBP, CAD, and AUD.
Save the payer’s details and regular tutoring services for reuse. When you duplicate an earlier receipt, Docelf creates a new draft with a new number. Replace the old lesson details, payment date, amount, and Notes before sharing.
Check the parent’s or student’s email address, then email the receipt, print it, or download a PDF. Docelf shows delivery and opening information for emailed receipts.
A PDF or image attachment can add a lesson summary when useful. Include only information the recipient needs.

Tutoring Receipt FAQs
-
How do I enter a 90-minute tutoring lesson?
For hourly pricing, use a quantity of 1.5 and your hourly rate. At $60.00 per hour, the line amount is $90.00. For a fixed 90-minute session fee, use a quantity of 1 and name the length in the description.
-
Should the receipt name the parent or the student?
Name the person who paid as the customer. Add the student’s name or agreed learner reference in the lesson description or Notes when the payer and learner are different people.
-
Can one payment receipt cover different tutoring subjects?
Yes. List each lesson with its subject, date, quantity, and rate when one payment covers them together. The separate rows help the family match the total to the lessons.
-
Should I create another payment receipt for every prepaid lesson?
Not when no new money was received. The original receipt records the package payment. Keep later lesson attendance in your teaching records, and create another receipt when a new payment arrives.
-
What date do I use when the family pays after the last lesson?
Use the date you received the money as the receipt date. Leave the individual lesson dates in the descriptions. Creating or sending the receipt later does not change that payment date.
-
How do I show a partial tutoring payment?
Show the lesson total, this payment, and any earlier payments. The remaining balance is what has not yet been paid. With no earlier payments, $100.00 received toward $190.00 leaves $90.00. The next receipt records only the next payment.
