What to Include on a Professional Service Invoice

Your customer should be able to connect the fee to the work without searching through old emails. Include the details that explain the service and the billing agreement.

Keep descriptions specific enough to explain the charge, but leave out private details the customer does not need on the invoice.

Bill by the Hour, Project, Retainer, or Appointment

Match the invoice to the terms you agreed on. For hourly work, show the dates, hours, and rate. For fixed-fee work, name the project, service, milestone, or deliverable and show the agreed fee.

For retainers or recurring services, make the billing period and the work covered clear. If you are applying a retainer balance or earlier payment, show the credit and the amount still due.

Put approved expenses on separate lines. That keeps professional fees, outside costs, and taxes easy to check. Before you send the invoice, review the service description, due date, total, and payment instructions one more time.
